Client Services Coordinator – Events (EU).
The Client Services Coordinator supports the Client Services team to successfully manage attendee and sponsor relationships within our events business.

Our goal is to create a best-in-class client services experience to exceed the expectations of our event clients. This is both an external and internal facing role that will require the ability to build strong relationships with both clients and colleagues. This person must demonstrate exceptional customer service, with a continual focus on meeting and exceeding the expectations of our clients; strong organization and time management skills; and a willingness to assist on projects big and small.
Client Services – Attendees
Manage and maintain – on a daily basis – the Summit general attendee inbox by responding promptly to incoming inquiries from conference attendees
Draft and maintain standard replies to commonly asked questions
Liaise with other departments to obtain necessary information to respond to incoming queries, particularly as it relates to invoicing, rooming, sales follow-up, etc.
Manage, execute, and track attendee changes for Summit ticket holders as it relates to all aspects of their participation in the event
Assist in review of incoming registrations to ensure that attendees are registering at the correct rates
Help to ensure quality of data between registration system and Salesforce, including by making sure contact information for attendees is correct across databases
Client Services – Sponsors
Support Sales Directors to ensure successful transition of the client relationship post-sale
Assist in executing contracts, invoices, and collection of materials
Create and maintain rosters to accurate track sponsor points of contacts, contract details, and receipt of deliverables
Track client deliverables (e.g., logos, descriptions, etc.) to ensure accurate and up-to-date information by stated deadlines; provide this information to internal teams as needed
Update websites and event mobile apps with relevant sponsor information, such a logos, descriptions, etc.
Carefully track all event sponsors and status and ensure that the information is captured in relevant databases
Skills and experience Requirement
Proactively support the Client Services Specialists with ad hoc administrative needs
1 year of experience in a professional setting (may include internships)
Excellent verbal and written communication skills
Strong attention to detail
Proven ability to multi-task and manage multiple priorities
Passion for providing excellent customer service and exceeding client expectations
Positive, can-do attitude
Experience with Microsoft Word, Excel & Outlook required
